Guidelines for Club Officials

 

Criteria for Office Bearers

  1. The Chairman of the Club or Society must be a past member, preferably a committee member of the club, unless approved by the Teacher Advisors concerned.
  2. No student can serve as Chairman concurrently for more than one club or hold responsible posts for more than two clubs.
  3. Responsible posts are posts held by committee members. There are not to be more than five members viz. Chairman, Vice Chairman, Secretary, Treasurer and Coordinator. Any request for additional posts should be backed with valid reasons, endorsed by Teacher Advisors, and approved by the ECA Coordination Team.
  4. At least two F.3 or F.4 students should serve as committee members of any club / society, unless approved by the Teacher Advisors concerned.
  5. SA EXCO members are not allowed to serve as Chairman of any clubs due to a conflict of interest.
  6. F.2 students are not eligible to hold any Chairman or official posts.

 

 

Mechanisms for Club Chairman Succession System

Procedures

  1. Interested F.3-F.4 students are to apply in May for the Chairmanship of the following academic year.
  2. Applicants are to prioritise a maximum of 3 choices of clubs for Chairmanships.
  3. The CCB will process all applications by the end of June. A compiled tentative list of applicants is to be sent to Teacher Advisors for approval.
  4. The finalised list of club Chairmen will be confirmed and issued on the 2nd week of July to
    1. Teacher Advisors for their final approval,
    2. Club Chairmen to facilitate them in setting up their own committee members,

 

Merchandise

  1. Clubs are not allowed to sell merchandise to make money which is used for members' entertainment.
  2. Clubs wishing to sell goods for a cause or for a good reason must submit a proposal and obtain the approval from the Principal and the ECA Coordination Team during the planning stage.

 

Joint School Correspondence

  1. All letters to outside organisations must be countersigned by a Teacher Advisor, checked by the Vice Principal of the Steering Committee and endorsed by the Principal.
